Background

The contract was awarded to IWS based on a commercial and quality submission with particular reference to the use of the IWS Online Report Tracker system. Prior to the award to IWS, The City Council were receiving 960 handwritten service reports each month and all Legionella risk assessments were in paper format. Within the first month of mobilisation, the IWS ORT system had been populated with all site and asset information. IWS now report by exception to The City Council allowing the contract managers to action only out of spec results and not have to trawl through 960 service reports a month. By working in close partnership with The City Council the number of out of specification results has been reduced demonstrating continuous improvement in Legionella compliance

Project Scope

Legionella risk assessment, L8 Inspection and monitoring programmes and clean and disinfection of water systems at 960 locations for council clients including, education, housing, social services, commercial, libraries and museums. Working in partnership with The City Council we are developing the asset management database to include purchasing and invoicing functionality. IWS Water Hygiene has also adopted specific working methods to provide and maintain a high level of delivery for customer satisfaction both for the client and residents.

Customer Satisfaction

IWS is committed to customer satisfaction and continual improvement in all its business processes. In order to ensure the delivery of these commitments Integrated Water Services has established several quality objectives to ensure this area is closely monitored and that standards are maintained.

Key Performance Indicators

  • Each job plan required within the Scope of Services to be completed no earlier or later than one week of the due date for monthly maintenance
  • No earlier or later than one week for 3 monthly maintenance
  • No earlier or later than 2 weeks for 6 monthly maintenance
  • No earlier or later than 1 month for annual maintenance
  • 98% of visits to be made within the due month

Feedback from client reviews indicates that IWS is considered to be one of the best performing contractors within the Council’s framework. The water hygiene contract for The City Council was previously operated utilising a paper-based reporting system. A primary driver for The City Council in awarding the current contract was to move to an electronic reporting system.
